Virtually any type of scanner will work as long
as it allows you to scan in Black and White. You may have to go to
the set up menu of your scanner and find the part that changes the
scanning from color to black and white because if you scan in color the
file will sometimes be 100 times larger and take to long to transfer. The
typical .tiff file will be between 15 and 100k in size and transfer times
will be measured in seconds.
Flat bed or Pass through scanners will work. Just remember that on the pass through scanners that small pieces of paper may need to be taped to a larger piece of paper. Do not let the tape, even transparent tape go over anything that needs to be read. Sometimes the transparent tape reflects the bright light of the scanner and the words or images below it go black. There are a lot of multifunction machines (HP, Brother, etc.) on the market that will also work well, Just be sure that it is set for .tiff images and and Black and White (text or photo). If your images are scanned in color they cannot be corrected simply by changing the extension. You have to re-scan the image. Cameras and telephones will not work because they generally use a proprietary type of image file conversion is not possible. How do I judge if my paperwork is too bad to Scan? This is really an easy question to answer. You cannot improve on the paperwork that is in your hands. Blue backgrounds will cause everything to fade. Try to avoid anything Blue. Pink is also not very good. The less contrast on the paper the worse the image will be. Contrast is the difference between the printing and the background. If the printing is black but the background is gray or some other dark shade this will cause the image to fade. Smudges, runs, poor or light signatures will all make the situation worse. Remember, imaging cannot improve the quality of what is in your hands and it can make it worse. Small pieces of paper are always a challenge to scan since they tend to get lost as they pass through the scanner. If the slips of paper are less than 2 inches tall and 8 inches wide it is better to tape them to a larger sheet for scanning. Interchanges will normally go through just fine. You need to determine whether your scanner takes the papers face up or face down. Sounds simple but if we get blank pages they do neither one of us any good. The Scanner will ask for a file name or in some instances a location to store the images. The rule for naming files is easy to remember, The file name is always the Pro number. The Pro number is always listed on the Rate Confirmation sheet or if you are a Titan Driver it will be on your copy of the Delivery receipt that is printed for the load. You must print the pro number on each sheet that you scan. This way if something gets lost it will be easier to find. We have found that images that are sent in a group with others w ill sometimes scramble and if a page does not have the pro number on it we may never know where it is supposed to go. When you scan the images, the scanner always gives you an option of where to store the images for later use. I prefer to create a separate folder in me hard drive to keep images for later use but you can approach the temporary storage a couple of ways. I a going to assume a little knowledge and that most of you are operating with Windows XP of some sort. If you are using an Apple then you probably already know what you need to know. At least that is my experience with Apple Users. OK, When the scanner asks you for a "Save In" you really have to make a decision of where the images are gong to be located so you can find them later. Initially lets choose "Desktop". You do this by clicking on the little inverted triangle on the right side of the "Save In" box. The drop down menu will give you choices and all you have to do is click on the Desktop wit your mouse and you are ready to go. Final check, Image type....Black & White, Resolution....200X200, image compression.....CCIT Group4 (if this is available)....File name....B123454a..... Sheet loaded.....Yes. Click on scan( not scan preview). Page 2 repeat, page 3, repeat, etc. Go to my desktop and the new files appear with the last row of icons. Four scans, four images. If You want to look at them, just click on the image and it will load automatically for me to look at. Click on Internet Explorer. Go to www.harristransport.com, clock on "Paperwork download". Go to right hand side of page and click on "Click Here to Download Files" A window will open and ask me to locate the files for download. Click on Desktop and the files should appear in the list. With the mouse click on the first file, with my left hand press the control "ctrl key" and while holding down the "cntrl" key click on each of the other files one at a time. When all of the files are selected, go to the bottom of the window and Click on "Enter" and the files will load automatically. You will then be returned to the main screen where You enter the required information to finish the transfer....My Name, Number of pages, Pro Number, contact info. Click on go and you're am done. Well, almost done. When we receive your scanned images, we will send you a confirming e-mail that starts the meter running. Anything that arrives in out office prior to 9AM on Monday will be paid that same week. There is still one final requirement. We still want the original paperwork to be mailed in by normal 1st class mail. In order for us to meet out legal requirements we have to get the originals in our office prior to you being paid. Unless there is a massive hold up in the mail there should be no problem and at the worst we should have it by the following Monday and will either mail your check out then or load the money to a Card which ever option you choose. In a worst case scenario, you get paid a week sooner than if you mailed in the paperwork. When should you send the paperwork in to us. The best answer is just as soon as you can, Find a Scanner Location and send it in the same day if possible. Remember if everyone sends their paperwork in on Monday the system gets clogged and we might have to delay all checks, beginning with those who sent it in last. Help us and we will help you. If you want to store your images elsewhere on your computer, you will probably have to create a storage folder on your "C" drive and either Scan the images to that folder or transfer them to the folder after you download to Harris. This way you have a permanent file of all of your paperwork for future reference or to turn in to your dispatch when you get back home or to your Terminal.
